Job Description and Responsibilities:

 

The Subcontract Compliance Specialist is responsible for ensuring that subcontract records are accurately maintained in full compliance with regulatory requirements and remain audit-ready at all times.  Must possess the ability to communicate clearly and professionally, both in writing and verbally, with internal team members as well as external vendors.  Able to utilize enterprise resource planning, word processing and spreadsheet software to ensure accurate and organized subcontract records.

Responsibilities include:

 

  • Maintain detailed subcontract files and documentation to ensure audit readiness.
  • Coordinate with vendors to collect representations and certifications, certificates of insurance and other relevant documentation.
  • Collaborate with the Subcontracts Administrator to support accurate recordkeeping and documentation management.
  • Ensure all files are named according to the prescribed conventions and maintain comprehensive subcontract documentation.
  • Process purchase / change orders in accordance with subcontract awards / modifications.
  • Assist in maintaining the Master Subcontracts List.
  • Enter, update and maintain subcontract records in the Deltek Costpoint subcontracts module.
  • Monitor and ensure that all subcontract reporting requirements are completed accurately and on time.
  • Other duties as assigned.

Requirements

Requirements:

 

  • Bachelor’s degree in Business Administration, Supply Chain Management, Law / Legal Studies, Acquisition / Contract Management or a related field.
  • 0 – 2 years of relevant experience in administration or compliance oversight, with preference for experience in a federal contracting environment.
  • Excellent written and verbal communication abilities.

Preferred Qualifications:

 

  • Familiarity with various contract types and associated compliance requirements, including FAR and DFARS regulations and data security standards.
  • Experienced in using SAM.gov website, SharePoint, Excel and Deltek Costpoint.

Physical Requirements:

 

Work may involve sitting or standing for extended periods of time. Position may require typing and reading from a computer screen. Must have enough mobility, including but not limited to bending, reaching, and kneeling to complete daily duties in a timely and efficient manner. May include lifting weigh up to thirty (30) pounds, as necessary. 

 

Location/Work Schedule:

 

This is a hybrid position; office location is in Huntsville Alabama. While the role offers flexibility, the Subcontracts Compliance Specialist is expected to be available during standard business hours and maintain a dedicated workspace. Occasionally, this position may require support outside of regular hours, including early mornings or evenings, to meet critical deadlines or business needs.

 

Salary Range:

 

$60,000 - $65,000

Pay Range

USD $60,000.00 - USD $65,000.00 /Yr.
